Reimagining our operations: How we save hours on admin with AI

At ClearPoint, we’re actively building our own internal workforce of digital coworkers to fundamentally reimagine how we operate. This initiative began with a clear goal: to eliminate “death by a thousand clicks.” We wanted to target the endless administrative tasks that create friction and bog down our teams. This has since emerged into a coordinated ecosystem of AI agents that are making our business faster, smarter, and more focused.

As a professional services company working across digital, technology and AI, our focus is always on delivering exceptional outcomes for our clients. Supporting this mission is our dedicated internal operations team. Guided by our internal Driving AI Native Everywhere (DANE) Programme and our ambition to be a 'Frontier Firm,' our operations teams ensure the entire organisation has the support it needs to do its best work every day. It was within this crucial internal framework that we saw a powerful opportunity for innovation.

From Tedious Tasks to High-Impact Work

Our AI journey started by targeting the repetitive processes that consumed our team’s time and energy. We wanted to free our team to focus on high-impact work, including strategy, creativity, and building strong client relationships. As ClearPoint Engagement Director Michelle Poulton noted in our recent podcast, "there is a lot of what we do in our general day to day which is fairly repetitive administrative tasks... you can spend a fair bit of your time doing that." We envisioned a future where our people handle the strategic work, while their AI counterparts manage the administrative heavy lifting.

A key objective is automating our Project Administration and Project Coordination activities. By doing so, we free up our Project and Delivery teams to spend more valuable time working directly with our clients. It is a goal shared across the business. "I want to make sure that I am maximising the time I can spend with clients on crucial activity to help drive their businesses forward," Michelle explained.

To achieve this, we have developed a suite of specialised AI agents, each with a defined, autonomous role:

  • Workflow Orchestration for Resourcing: Our AI agents are now at the forefront of our internal resourcing efforts. We have developed capabilities that process onboarding steps for new staff members, autonomously validating contract details and ensuring we have the right compliance attributes. The system also proactively figures out where staff need to be scheduled,  and validates our internal scheduling against contractual obligations. This saves about 1 hour per new staff member.
  • Automated Project and Financial Setup: We built an agent that goes through a Statement of Work (SOW), extracts all the necessary service lines, pulls out information such as pricing and people, and automatically integrates with our backend systems to set up the project. This enables our team to capture timesheets, eliminating hours of manual set up, and dramatically reduces human error. Another agent enhances our financial controls by cross-referencing staff agreements with project budgets. This agent saves 2-3 hours per new project.
  • Streamlined Approvals and Compliance: We have an AI-powered assistant that assists with our Delegated Financial Authority (DFA) processes by reviewing contracts, looking for potential risks ,and raising them to approvers to speed up sign-off. On the compliance front, a dedicated agent looks at the quality of incoming invoices and validates expenses against our systems, flagging any issues for our finance team. Together these save approximately 20 hours per month.
  • Proactive Team Management: Our AI agents help us manage our team proactively.  We have automated processes that keep us on top of important team milestones and provide a weekly summary of our team's availability and potential opportunities. This gives us the data we need to plan more effectively. These agents save about 1 day per month.

The impact of this initiative has been profound, as shown by the savings made. Internal processes that were data-entry heavy are now completed faster, allowing our teams to spend more time with clients. We are catching errors before they become problems and gaining insights from our data that were previously out of reach. Most importantly, it ensures that our advice is grounded in our own reality. “We are using ourselves as our own test case in how we can leverage AI to move our business forward – both internally from an operations perspective, and how we go to market and help our clients on their own journey,” says Michelle. “That's really important for us as a business to not just say, but show as well.”

This operates on a clear guiding principle: If AI can do it better or faster, it should be used as a default.
